Privacy Policy
**Effective:** 17 August 2026
**Version:** v2-2026-08-17
BeamTeam LLC, a Minnesota limited liability company ("we", "us"), connects
customers with mobile barbers. This policy explains what we collect, why, who
sees it, and what you can do about it.

1. What we collect
**Account.** Your name, email address, and a password we store only as a bcrypt
hash — we never see or store your password itself. Optionally a phone number, a
profile photo, and links to your social accounts if you add them.
**Bookings.** The address where you want the service, its map coordinates, the
time, the service, and any notes you add. For hotel or short-let bookings you may
add entry details such as a front-desk name or door code.
**Payments.** Card details are collected and stored by Stripe, our payment
processor. We never receive or store your full card number. We keep a Stripe
customer reference, the amounts charged, refunds, tips, and payout records.
**Location.** With your permission, your device's location, used to find barbers
near you. Barbers who are travelling to an appointment share their live location
with that customer for the duration of the trip.
**Photos.** Barber profile and portfolio photos, customer profile photos, and
completion photos of finished work. We strip embedded metadata, including GPS
coordinates, from every uploaded image before it is stored or served.
**Hair scan photos.** If you use the hair scan, the app asks you to photograph
your hair from three angles. This is covered in detail in section 3 — it is the
most sensitive thing we hold, and it has its own rules.
**Messages and support.** In-app chat between you and your barber, support
tickets, and reports you file about another user.
**Technical.** Sign-in sessions and the device or browser they came from, IP
address, and — if you enable notifications — a push token for your device. On
iPhone, if you allow it, a token that lets us update the live countdown on your
lock screen while a barber is on the way.
2. What is public
Most of your information is private. These things are visible to others:
**Reviews.** If you review a barber, your first name and your review appear
publicly on their profile.
**Client visibility (off unless you turn it on).** You may choose to be listed as
a client of barbers you book with, under *Profile → Privacy & data → "Show me as
a client"*. This is **off by default**, and nothing about you is listed unless
you switch it on yourself.
When it is on, we publish **only your first name and initials**, and your profile
photo if you have set one, on the public profile pages of barbers you have
completed a booking with. Those pages can be viewed by anyone with the link,
including people who are not signed in.
When it is off, you are still counted anonymously in a barber's totals — for
example "34 clients" — but you are never named, and no information that could
identify you is transmitted.
**Shared cut cards.** You or your barber can create a shareable image of a
finished cut. Creating one is a deliberate act, and it uses only a photo you have
already agreed to share. Once you send that image to someone, or post it, we
cannot retrieve it — treat it as public permanently.
**We never publish where you were served.** Booking addresses are not shown to
anyone but you and your barber, whatever your visibility setting. The only
location shown on a barber's public profile is the barber's own business address,
which they entered themselves.
You can turn client visibility off at any time; you disappear from those profiles
immediately.
**Barber profiles.** If you are a barber, your name, photo, bio, services,
prices, ratings, portfolio, social links, and any business address you enter are
public.
3. Hair scan photos
The hair scan asks for three photographs of your hair — front, side, and crown.
**No software analyses them.** We want to be exact about this, because the
feature's name invites the opposite assumption. There is no model, no face
recognition, no biometric template, and no automated inference of any kind. The
photographs exist so that a **human barber can look at them** — curl pattern,
density, and how your hair sits are simply visible in a photo in a way they are
not in a questionnaire. Nothing in the app detects anything about you.
**Your barber sees them only if you tick the box.** Consent is asked **per scan**
and defaults to off. Agreeing once does not agree for next time. If you do not
tick it, your barber receives only the written plan and never the images.
**Only that barber.** The photos are released to the barber on that specific
booking. Administrators are not an exception and have no route to view them.
**They are deleted automatically after 7 days.** A scheduled sweep removes both
the file and the database row. You do not have to do anything.
If you would rather not do this at all, the scan is optional — you can book
without it, and describe your hair in words instead.
4. Why we use it
To create your account and sign you in; to match you with barbers and run
bookings; to take payment and pay barbers; to send booking confirmations,
receipts, and reminders; to provide support and resolve disputes; to detect
fraud and abuse; and to meet legal and tax obligations.
We do **not** sell your personal information, and we do not use it for
advertising.
5. Who we share it with
**Your barber**, for a booking you made: your name, address, appointment
details, any entry notes, and — only with the per-scan consent described in
section 3 — your hair scan photos.
**Service providers** who process data on our behalf: Stripe (payments),
Resend (email), Google Maps (geocoding and maps), Firebase and Apple (push
notifications), and our hosting provider.
**Authorities**, where we are legally required to.
Access codes and entry notes are encrypted at rest, are never returned by list
endpoints, are readable only by the assigned barber within a window around the
appointment, are cleared when the booking completes, and every read is logged.
6. How long we keep it
Account data is kept while your account is open. Booking and payment records are
kept for up to 7 years after the booking, because tax and accounting law requires
it. Chat messages and support tickets are kept for 2 years. Hair scan photos are
deleted after 7 days. Sign-in sessions expire and are deleted automatically.
When you delete your account, your personal details are removed. Booking and
payment rows are retained as anonymised records with your identity stripped, for
the legal reasons above.
7. Your rights
**Access and portability.** Download everything we hold on you from *Profile →
Privacy & data → "Download my data"*.
**Deletion.** Delete your account from *Profile → Danger zone*, subject to the
retention rules in section 6.
**Correction.** Edit your name and details in your profile, or contact us.
**Object and withdraw consent.** Turn off email notifications, push
notifications, location access, hair scan photo sharing, or client visibility at
any time in your settings. Withdrawing consent does not affect processing already
carried out.
Depending on where you live you may also have the right to complain to a data
protection authority.
To exercise any right, email benny@beamteambrand.com. We respond within 30 days.
8. Security
Passwords are hashed with bcrypt. Traffic is encrypted in transit with TLS.
Sensitive entry details are encrypted at rest. Administrative actions on user
records are written to an audit log. No system is perfectly secure, and we
cannot guarantee absolute security.
9. Children
BeamTeam is for adults. You must be **18 or older** to hold an account, and we do
not knowingly collect information from anyone under 18. If you believe a minor
has given us personal data, contact us and we will delete it.
10. International transfers
Our servers are located in Germany. If you use BeamTeam from another country,
your information is transferred and processed there.
11. Changes
If we change this policy in a way that materially affects you, we will notify you
in the app or by email before it takes effect, and ask you to accept the new
version where the law requires it. Every version is retained with its effective
date.

per-scan consent, seven-day deletion and barber-only access; covers customer
profile photos, social links and shared cut cards; notes the iPhone live
countdown token; raises the minimum age from 16 to 18; names BeamTeam LLC.*
